Client Onboarding Portal

Corporate landscaping contracts in Malaysia rarely arrive with a standard plant list. Each project brings its own site conditions, delivery windows, and volume requirements. The Client Onboarding Portal was built to capture those details before a single order reaches our greenhouse floor.

Previously, new corporate clients submitted requirements through email threads and spreadsheets. Information arrived in fragments: a soil spec here, a delivery date there, a plant substitution buried in a reply chain. Our operations team spent hours reconciling mismatched data before cultivation could begin.

The portal replaces that back-and-forth with a structured intake flow. Clients enter project scope, select plant species from our current availability, specify soil blends, and set delivery milestones. Every submission lands in the same format, which means our nursery coordinators can review and confirm orders without chasing missing details.

What the portal covers

  • Project profile: site location, landscape area, and expected planting schedule
  • Plant selection tied to live greenhouse inventory and seasonal availability
  • Soil configuration with drainage and nutrient options for industrial-grade blends
  • Delivery planning with staging areas for large-volume truckloads
  • Document upload for site plans, specifications, and approval forms

How it changed our workflow

Since the portal went live, our intake team no longer rebuilds order summaries from scattered emails. The structured format also gives us a clearer view of upcoming demand, so we can adjust propagation schedules and soil mixing batches weeks in advance. For clients, the benefit is simpler: they see exactly what we need from them, in one place, before cultivation starts.

The portal is not a replacement for direct communication. It is a front door that makes the first exchange predictable, so the conversations that follow can focus on the details that actually matter for each landscape.

If you are planning a large-scale corporate landscape and want a clearer intake process, the portal is the starting point. From there, our team handles the rest.

Client Onboarding Portal

We built a dedicated onboarding portal for corporate landscaping clients. It replaces the old email-and-spreadsheet process with a single place to submit project specs, review plant availability, and track order status from greenhouse to delivery site.

Project scopePortal design and rollout for 14 corporate clients in the Klang Valley region. The system handles plant selection, soil volume calculations, and delivery scheduling.

What changedClients now log in with a company account and see live stock levels for exotic plant species. Soil orders are calculated automatically based on the number of plants and container size.

Why it mattersLandscaping contractors often work on tight deadlines. The portal cuts the back-and-forth from several days to a few hours, so planting schedules stay on track.

Current statusThe portal is live for all existing clients. New corporate accounts are set up within two working days after the first site visit and soil assessment.
